Committee Meeting Minutes – Thursday 24th July 2014

Present: Jenny Scheffers, Lee Arundle, Jan Poona, Jennifer Dengate, Janelle Van Capelle, Cathie Cattermole, Sue Pitt, Fran Mead, Natalie Ignacz and Michele Young.
Apologies: Ian McLean (on leave).

Lee
• Lee to step down as Treasurer of the Committee and take a break from the Committee after many years of service
• A new Treasurer will need to be appointed, possibly Cathie Cattermole
• With the introduction of LMBR the financial organisation of the Committee may need to change. Perhaps set up our own account and not have a trust fund attached to a school. Jenny to investigate what other schools do and what our options may be.

Jenny
• Jenny taking long service leave Term 4 Weeks 1 – 3
• Number of delegates attending the Term 2 Conference (Integrating Inquiry Learning & Web 2.0 Technologies into the Australian Curriculum) was disappointing
• Positive evaluations by delegates
• Syba Academy easy to work with
• Purchased one PMBW banner and received one free
• Paid $100 for graphic design
• Lorraine to add Non PMBW attendees to our data base
• Julie to add a question to Term 3 PL Day Evaluation, ie. “Did you attend the Term 2 Conference? Why/Why not?”

Cathie
• CBCA Western Sydney – organising an authors/illustrators weekend to be held at Auburn. Advertised via DEC email. Cathie will attend.

Term 3 Professional Learning Day
• Wednesday 3 September (Week 8)
• TL – Rosalind Graham (prefers Ros)
• Riverstone PS
• Cost $40
• Add mention of AGM during Housekeeping matters. Encourage delegates to speak to Committee members throughout the day and consider joining the Committee
• Caterer is booked – Richard
• Jenny has visited the venue
• Course has been uploaded onto MyPL
• Sponsors have paid

 Jenny – amend Agenda to include AGM 3:00 – 3:15pm followed by Lucky Door Prizes
 Jenny – inform presenters that the IWB is low to the floor, handouts may be helpful if delegates find it difficult to view the screen

 Jenny – contact Lorraine to email delegates on data base re lack of parking in the school grounds

 Janelle – touch base with Nerina and suggest that she bring handouts along

Term 4 Afternoon Tea Meeting

• Thursday 30th October (Week 4) 3:30 – 5:00pm.
• Judith Ridge will organise a free session with guest author Sally Murphy (promoting Walker Books)
Suggest that Sally will speak from 4:00 – $:45pm followed by question time

• Walker Books would have a promotional stand?
• Invite Teacher Librarians and Classroom Teachers?
• Jenny – organise a flyer to promote this event at Term 3 PL Day.

Thanks to everyone for attending today’s meeting
Pleased that the PL day went so well and that the evaluation comments were so positive
Think about an end of year Committee Christmas Dinner.

Plenty in the kitty – includes $240 outstanding from the Term 2 PL day
Do not assume that online registration means payment for PL day has been taken care of automatically by school admin staff.

Belinda to visit the school and assess the Library area and facilities for presentations, sponsors and catering
Lorraine to send an email, closer to the date, to all TLs informing them of the course code for MY PL registration
Sue to organise two sponsors – suggestions were for an e-book seller and TV For Education (Belinda to give details of TV for Education to Sue).
Agenda
To include 45 minutes for morning tea, 45 minutes or 1 hour for lunch depending on presentations

Robin Morrow from IBBY (The International Board on Books for Young people) – a non profit organisation to bring books and children together – 20 minutes to speak about this organisation and their charity/fundraising work?

Showcase Library practical lessons? – split High Schools / Primary Schools eg Photopeach, Blogs, Wordle, Animoto + other Web 2.0 tools

General Discussion
Jenny:
• Flowers sent to Shelley on the Committee’s behalf
• Colleen Blancato working at CLI
• Future meetings will be held on a Wednesday.

Lee:
• Still to pay Scholastic for books bought for the Term 4 Conference show bags
• Syba Signs has not yet sent us an account for Ross Todd’s presentation.

Evaluation of Term 2 Professional Learning Day:
Michele:

• Comments about the day were very positive
• Email Paul MacDonald for a copy of his power point presentation and CBCA Shortlist notes.

Jenny:
• A copy of the evaluation comments were sent to presenters
• For future planning of the Agenda – lead with Colleen Foley’s presentation, then follow with other guests
• Jenny to delegate duties to committee members before the day of the event – assist guests, introduce and thank guests, oversee morning tea and lunch organisation, etc
• A representative from Blacktown City Library, Margaret Redup-May, is interested in liaising with Jenny to distribute information about the Library to local TLs.

Discussion Term 4 Professional Learning Day – Thursday 18th November 2010
• Presenter – Dr Ross J Todd
• Venue – Sebel Parramatta
• Lorraine sent an email to all TLs informing them of the course code
• Accommodate 115 delegates plus 5 places for presenters (incl. Lee FitzGerald)
• Parking – $6 at The Sebel, validate ticket at reception; turn into driveway from Church Street
• The Sebel will provide notepad, pen and mints on the tables
• AV equipment and technician have been hired for the day
• Cost – presentation by Ross, share other costs with Syba Signs who are running a session on Friday
• If our day books out, direct people’s interest to Friday’s presentation
• Show bags – bag or satchel??
• Ross will have handouts to be photocopied and added to show bags
• Additions to show bags – will include a book from Scholastic (Lee has ordered them), USB drives? Teacher’s Federation pen?
• AGM – not to be held at the Conference:
– Committee members to be asked if interested in continuing for 2011
– to be mentioned at the Conference – any delegates interested in joining the Committee to come
– along to the next meeting or see a Committee member on the day
– add this information to our blog.

Responsibilities
• Jenny and Colleen – check details with The Sebel before the Conference
• Jenny – check with Lee FitzGerald to see if she will be attending for the full day or part day
• Jenny – Check with Syba Signs to see if it would be a problem to have Elizabeth Richards as a sponsor
• Lee – investigate types of show bags and prices – suggest to the supplier that an advertising flyer could be included in the bag – liaise with Jenny
• Sue – three sponsors needed, no spiel, morning tea and lunch provided for one representative
• Cathy – certificates for the presenters
• Jan, Honor, Ian and Isabelle – create a new logo, new logo to appear on all communication and on show bags – decision needed by the end of term.

Ø      Term 4 full day meeting to be held at Katoomba H.S. Confirmed with Laureen Sheppard

Ø      New Patron needed – suggestions? Ask Colleen Foley for suggestions?

Greg Prior has replaced Lindsay Wasson

Lindsay overwhelmed with his gift and best wishes from PMBW group

Ø    Afternoon tea was cancelled due to DET changes in organisation of Professional Development advertising and registration

Reschedule for Term 3? Discuss with Honor and committee members at the next meeting – Colleen suggested using this event as a forum for addressing general questions/answers

Ø      Received an email from Ruth Buccanan (TL Colo H.S).  Borrowing rate has increased as a result of changes implemented after Kevin Hennah’s workshop. She suggests a follow up workshop, perhaps in Term 4

Ø      Jenny and Ian – Book Rap in Term 4 to follow up Term 2 meeting presentation by Lisa and Emma.

Michele:

Ø      Thanks to Jenny and Colleen for visiting Lindsay and presenting him with a gift on our behalf.

 Ian:

Ø      Presenting a workshop with Ruth Buchanan at ASLA meeting Saturday 31st October at Penrith P.S

Ø      Suggestion made to use PMBW funds to employ someone to set up an email database of schools, Principals and Teacher Librarians.

Lorraine:

Ø      Offered to collate email data base of TLs in our region – to be paid a casual day

Possible start date – Monday  6th April (Week 11).

§         Email Lorraine introductory letter to be sent to TLs – introduce PMBW Professional Learning Group, instructions for registering for TL Professional Learning Days etc.

§         Pass on new PMBW logo to Jenny.

§         Email Agenda to committee members

§         Send Agenda to Parramatta group, explain new registration arrangements

§         Inform non DET TLs of Term 2 meeting – Promote Agenda on TL list serves
